Title: HOTEL in Port Chester

Now that we have the old forum back and people are posting here, I wanted to "centralize" the information on the hotels for the December holiday run in Port Chester and Boston.  I know some of you have already responded, but grateful if you could once again indicate here if you need a hotel for Port Chester and/or Boston.

Again, here's the information:

PORT CHESTER, NY - RYE COURTYARD MARRIOTT - DECEMBER 27 to 29

The Courtyard Marriott is offering a rate of $116 a night + taxes if we book 10 rooms (don't need 10 rooms all 3 nights just 10 different reservations within those 3 nights).  I checked the rates on their current website, and the rates have gone up to $136 per night.  So, this is a savings of $20.

Some additional information received:

1. Are only king rooms eligible for this deal or can people also reserve 2 queen beds?  I ask as there will be friends who will be sharing rooms.

A: I can offer you 5 double occupancy rooms and 5 King rooms. Please note that all of our King rooms do have a full sized pull out sofa bed.

2. If there are 3 or more people in a room, what is the extra cost?

A: No extra cost

3. Do people need to pre-pay or pay upon their arrival?

A: No - all guests will call in using a phone number or a website (given to you once you sign the letter of intent to secure the rooms) and will use their own credit card to hold the room. No charges are posted until check out.

4. When reserving, should people contact the hotel directly?  If so, is there a code they should quote?  Or should I coordinate the reservations and get back to you?

A: Once you sign a Letter of Intent, the Event Planner will contact you within 48 business hours with this information to share with the guests.

We will be given a dedicated phone number and "website" to make our reservations.

5. What is the cancellation policy associated with this offer?

A: We are not asking you to commit to any cancellation fees. If you need to cancel, please let me know as soon as possible.

6. If we don't have 10 rooms booked by the day of our arrival (Dec. 27), will people be subjected to a higher rate?  We are hoping to have 10 rooms booked, but people's travels are in flux right now.

A: Any rooms not booked by December 6th are released back into inventory for general sale.  Even if we have less than 10 rooms reserved, we will still be given the $116 rate.

Please post in this thread if you need / are interested in reserving a room in Rye, NY and/or Boston.   Please be as clear as possible when replying, including information such as the number of rooms and people in your party, to make it easier for me.  I realize some people's plans are still quite tentative, and, if so, please indicate this.

For example: "I need 1 room for 2 people in Rye, New York for only 1 night, likely Dec. 29."

"I need 1 room for 4 people in Boston, MA for 2 nights (Dec. 30 & 31), but this is tentative".

I need a hotel for Port Chester (to accommodate three...so minimum of two beds - all three nights) *and* I tentatively need one for NYE (to accommodate two, one bed is fine - two nights, 12/30 and 12/31).

A bit more information received for the Courtyard Marriott in Rye, New York.  I unfortunately could not get a lower rate, as $116 is already $20 less than the current listed price.  However, there are no extra fees for having more than 2 people in a room.  In addition, even if we don't have 10 reservations, we will still be given the $116 room rate.

For reservations, we will be given a phone number plus a "dedicated website" to make our reservations.  I should have the website info next week.

It sounds weird but even though I live here, taking into account getting to/from Port Chester each day/night (1.5 hours each way at min with 2 trains) and cost (20$ approx roundtrip to/from Grand Central) I am in for this Marriott thing! Got the days off work and would be great to hang with my MMJ fam for those few days leading up to Boston!

So NN, put me in for 3 nights for PC hotel. Can't beat it--within walking distance! (1 mile?)

Folks, I've only listed room rates.  As such, don't forget to consider taxes.

So the Courtyard Marriott in Rye, NY is $116 + taxes.

The Boston Brookline Courtyard Marriott is $179 + taxes (TBC).

John, I'm looking into other options, as some people would like to find a place with a lower rate, especially if we'll be staying there for two nights.  I've sent around a couple of emails to see if we can get a good rate anywhere else.

Ben, I know I speak for all of us when I say we really appreciate the efforts you're making to arrange lodging for PC and Boston.  I usually look at location over price for hotels after shows, just because its really nice to be able to walk/stumble to your room with ease.  However, saving money is a good thing, too. Is anyone aware of how late the T will run in the wee hours of New Years Day?

The T runs until 2AM on NYE. 

The Brookline Courtyard Marriott is only 1 T stop and a mile away from Agganis, and the group rate is $179.  It's in a good location for restaurants.

I've sent an email to Copley Square Courtyard Marriott.  It's online price is $159.  I imagine a group rate would be around $139.  It's 8 T stops away, but according to Mahg33ta it's in a great location near plenty of shops and restaurants.  The other advantage is that it's not far from Boston Common and closer to the waterfront should those visiting Boston the first time want to explore.  In addition, it's closer to the airport and train station.

The final place I'm looking into is the Cambridge Courtyard Marriott.  I believe Oistheone has booked a room here already, and we originally were thinking of staying here.  It's listed rate is $129, so a discounted rate might be around $109.  There are two negatives -  there's no direct public transit to here from Agganis, and there are only a few restaurants around.  It is only a mile walk (pedestrian bridge), so it would be a relatively easy walk, but it will be late December/early January so it would be a cold walk.  Taxis could be expensive on NYE, and the taxi journey is a roundabout way.  For those wishing to see Boston, it is a bit further away to get to the main sights.  May also be difficult to get to any pre-show get-together.

I'll throw in my 2 cents as someone who has lived in Boston for over 12 years and has spent many a NYE out in Boston.  Get the hotel closer.  If at all possible get the hotel as close to the venue as possible.  Boston is a absolute nightmare on NYE as far as transportation goes.  First of all the Agganis is on the Green line which is one of the worst lines.  The train goes above ground to get to the Agganis and there are just crowds and crowds of drunk people trying to get on before and after.   On a normal night getting a cab around that area especially after a Red Sox game or something is hard to do.  Cabs in Boston are expensive and there are not a ton of them..not like NYC.  staying in cambridge will probably end up costing you more after you factor in cab rides and that is if you can even get one after the show.   Traffic is going to be gridlock...because that is how Boston is all the time and only worse on NYE.

Also factor in that there are a bunch of bars/clubs around the Agganis area.   Tons of people are going to be trying to get cabs.  There are also other music venues, The Paradise which is a short walk from the Agganis, who will also get a pretty big name act for their NYE show so you will be battling those people trying to get a cab or the Train as well.

Copley wouldn't be a so bad but I would highly suggest not staying in Cambridge.  That hotel is in an area with nothing near it besides Biotech companies.   Very few people will be in that area on NYE which means getting a cab from there will be very difficult.  If there are rooms at the Brookline one I would say that is absolutely your best bet and worth paying the extra $.

The PC rate is $116 a night + taxes. I'm just waiting to sign the paperwork and then to be contacted by the sales rep from the hotel (I've been dealing with a regional sales rep).  We'll be given a "code" and a dedicated "website".  The code can be used calling the hotel or on the dedicated site.  If you already have a reservation, best to either cancel your current reservation or call the hotel to add the code.  I'll post all the info, which should be this week.

Is 10 rooms the max? Or would I be able to possible jump in on this rate if I figure out my travel plans within the next few days? Just wondering. Need to consider my options and plan out my time off and all that.

Actually, you'll have more time.

For anyone wondering, they'll hold the rooms until Dec. 6, so we're guaranteed at least 10 (maybe 15) rooms until that date.  Afterwards, the rooms will be released to the public.

E, you don't have to pay in advance.  You only pay at check-out.  A credit card is only needed to hold the reservation.

Call me crazy, but I'm hoping to do 4 days 3 nights (Sunday, December 30, 2012  to  Wednesday, January 2, 2013)..but that looks like it's going to get pretty pricey at Courtyard Boston Brookline.. anyone else looking for a bit of a longer stay? I think it might be nice to take in some of Boston and have less 'rushing around'..more time to 'relax'.

Hi folks,

The price of the hotel will be $116 a night if we book as a block.  However, on Priceline, you can book at $109 a night. 

There are only a few rooms available on Priceline.

Anyway, before I proceed with signing the contract, could people please let me know if you will book through Priceline or through the rate that I've negotiated.  I won't be offended if you choose Priceline since I know people are on budgets.

Plenty of time.  I need to know numbers so the hotel can block off rooms for us.  We can then make reservations up until Dec. 6.  At which time, they will release any unused rooms.  So in short - I'm collecting a list to GUARANTEE people a room at a discounted rate.

I am definitely in for the block rate of $116... 1 kind room all three nights.  I need to split up the cost of this trip so I can't pay in advance for priceline.

Also if people want to car pool to the show, I'm willing to drive.  I don't drink much before shows, just enough to relax, don't like missing stuff while in the restroom!  Not sure if it is a long walk to the venue or not.

Is there a bar close to the hotel for the post show party?  That's when I'll be looking to imbide in a few select adult beverages!!   :beer:

Regarding the location, the hotel is only 1 mile away from the venue, so we can walk there or take a cab, which should be cheap.  Also, I was told there are a lot of restaurants and bars in the area.

If people want in, please let me know ASAP so I can block off rooms.  Only those blocked rooms are guaranteed to be at the lower rate. If we exceed the number of blocked rooms, those reserving afterwards won't be guaranteed this rate. Reservations can be cancelled with no penalty. I'll post the cancellation policy once the contract has been signed, but it's generally by 6PM on the day of arrival.

But I got home and found out the Tedeschi Trucks Band is playing my home town and got tickets for that today too!  Ha!  So I definitely need to split up costs...

I believe I'll be splitting a room with soto pop. Talked to him over on inforoo.com and I believe we'll be splitting it....save some costs. Chilled with him at Newport Folk Fest and had a great time. Not sure of which one of us will book it (still have to work out the particulars) but let us know when the deadline is for that. Thanks again for doing this NN! You rock.
